We work with individuals at various stages of entrepreneurship - from "information seekers" to existing business entities, providing a roadmap to start, grow and thrive as scalable businesses. We offer spaces to work, expert guidance from NEON Business Advisors, mentorship, business incubation, development, training and workshops.
The Front Desk Assistant is responsible for providing direction and information to clients, visitors, and other guests of the organization, as well as playing an administrative support role to the organization as a whole.
The physical duties associated with this position are consistent with duties associated with work performed in an office setting. This job description serves only as a general description of anticipated day-to-day responsibilities of the position. ESSENTIAL JOB FUNCTIONS
Reception duties* 50%
- Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location.
- Answers, screens, and directs phone calls to staff; takes messages and schedules appointments.
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
- Assist NEON clients in signing up for Thinking About Business (TAB) and other NEON-sponsored events that require registration
- Light cleaning to keep reception and community working spaces tidy and sanitized.
- Maintains filing systems.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.
- Coordinates and schedules meetings and appointments for leadership and the NEON team as needed.
- Distributes agendas and schedules for meetings.
- Records meeting notes and distributes minutes or other records for meetings.
- Maintains office supplies and orders additional supplies as needed.
POSITION REQUIREMENS
Education and Experience·
- High school diploma or equivalent required; Associate’s degree or Bachelor’s degree in related field preferred.
- At least two years of experience in a reception or administrative role required.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work with minimal direction.
