POSITION: EXECUTIVE ASSISTANT
CLASSIFICATION: Regular, Full-Time (40 hours/week), Hourly, Non-Exempt

ORGANIZATION SUMMARY: The Northside Economic Opportunity Network (NEON) promotes economic equity by identifying business ownership as a path toward income generation and long-term asset building. NEON will increase work to start, support, sustain, and expand the number of culturally diverse businesses owned and operated in North Minneapolis.

JOB SUMMARY: The Executive Assistant works in direct support of NEON’s President, internal executive staff and external clients/visitors. The position is directly responsible for providing high-level administrative tasks; performing numerous duties including scheduling, writing correspondence, emailing and email management, communication with visitors, routing calls, scheduling meetings and answering questions and requests and financial management. The physical duties associated with this position are consistent with duties associated with work performed in an office setting.

​JOB RESPONSIBILITIES:
1. Administrative and Clerical Tasks
▪ File and retrieve records and (data) as requested by NEON President;
▪ Open, sort and distribute incoming correspondence, including faxes and email;
▪ Read and analyze incoming emails, submissions and reports to determine their significance and plan their distribution;
▪ Greet visitors and determine whether they should be given access to specific individuals;
▪ Make travel arrangements for NEON President;
▪ Prepare agendas and make arrangements for staff, board and other meetings;
▪ Prepare board reports and packets, schedule board meetings, and board committee meetings;
▪ Perform general office duties such as ordering supplies, maintaining records, management systems and performing basic bookkeeping work and digital file organization; ▪ Attend, compile, transcribe and distribute minutes of meetings;
▪ Coordinate and direct office services, such as records and budget preparation, personnel and housekeeping in order to aid NEON President;
▪ Manage and maintain schedule of NEON President; and Prepare invoices, reports, memos, letters, financial statements and other documents using word processing, spreadsheet, database and/or presentation software.

2. Other duties as assigned

REQUIRED QUALIFICATIONS:
Education and Experience:
▪ High School Diploma/GED or higher required; Associates or Bachelor’s Degree in Business Administration preferred but not required ▪ Minimum of five (3-5) years of combined experience as an Executive Assistant, Administrative Assistant or Receptionist; 5+ years administrative of C-level experience preferred
▪ Experience with Microsoft Office Suite

Knowledge, Skills, and Abilities:
▪ Strong computer and word
▪ Strong attention to detail
▪ Excellent time and project management skills (deadlines, tasks, etc.) and ability to switch focus quickly as needed
▪ Professional and friendly disposition
▪ Integrity and confidentiality
▪ Excellent written and oral communication skills
▪ Ability to operate and utilize a personal computer and associated technology
▪ Self-motivated (works well under pressure)
▪ Able to tolerate periods of sitting (infrequently may lift up to 50 pounds)
▪ Experience working with diverse populations is a plus

Licenses and/or Certifications:
▪ Valid MN Drivers’ License, access to reliable transportation, and the ability to meet MACC’s driving record requirements.
